1. Overview
This Refund and Payment Policy applies to all paid subscriptions to the SignLab electronic signature platform ("Service") operated by SignLab. It is incorporated into and should be read alongside the SignLab Terms of Service.
2. Subscription Plans
SignLab offers the following plan types. Current pricing is available at signlab.app/pricing:
- Free: No charge. No payment required.
- Pro: Monthly or annual subscription
- Team: Monthly or annual subscription
- Business: Monthly or annual subscription
- Enterprise: Custom pricing as per written agreement
3. Billing and Auto-Renewal
3.1 Billing Cycles
Monthly subscriptions are billed every 30 days from the date of initial subscription. Annual subscriptions are billed once per year from the date of initial subscription.
3.2 Auto-Renewal Disclosure
Important — Auto-Renewal
YOUR SUBSCRIPTION WILL AUTOMATICALLY RENEW AT THE END OF EACH BILLING PERIOD AT THE THEN-CURRENT SUBSCRIPTION RATE UNLESS YOU CANCEL BEFORE THE RENEWAL DATE. You authorise SignLab to charge your payment method on file for the renewal amount. You will receive a reminder email no less than 7 days before an annual renewal.
3.3 Price Changes
If SignLab changes the price of your subscription, you will be notified by email no less than 30 days before the change takes effect. If you do not cancel within that period, your subscription will renew at the new price.
3.4 Currency
Subscriptions are billed in the currency applied at checkout (USD, EUR, GBP, or AED). Once a subscription exists, its billing currency is fixed. Exchange rate fluctuations are the responsibility of the subscriber. SignLab does not offer exchange rate protection.
4. Refund Policy
4.1 Annual Subscriptions — 14-Day Refund Window
For new annual subscriptions, you are eligible for a full refund if:
- The refund request is made within 14 calendar days of the initial annual subscription payment, AND
- You have not sent any documents through the Service during that period
Refund requests must be submitted to support@signlab.app with your account email and the reason for your request. Approved refunds will be processed within 7-10 business days to the original payment method.
4.2 Monthly Subscriptions
Monthly subscriptions are non-refundable. No partial refunds are issued for unused portions of a monthly billing period. You may cancel at any time to prevent future charges, and access continues until the end of the paid period.
4.3 Annual Renewals
Annual subscription renewals are non-refundable. If you did not intend to renew, you should cancel before the renewal date. SignLab will not refund annual renewal charges except at its sole discretion in genuinely exceptional circumstances.
4.4 Free Trial Conversions
If you convert from a free trial to a paid subscription, the 14-day refund window begins from the date of the first paid charge.
4.5 Discretionary Refunds
SignLab may, at its sole discretion, issue credits or partial refunds in the following exceptional circumstances:
- Verified technical failure preventing Service use for more than 48 consecutive hours
- Duplicate charges due to a billing error on SignLab's part
- Account compromise resulting in unauthorised charges
Discretionary refunds do not establish a precedent or entitlement to future refunds.
4.6 Non-Refundable Situations
Refunds will not be issued in the following circumstances:
- You no longer wish to use the Service after sending documents
- You forgot to cancel before an auto-renewal
- You were dissatisfied with a feature that was clearly documented before purchase
- Your account was terminated for violation of the Terms of Service or AUP
- Force majeure events outside SignLab's control
5. Cancellation
5.1 How to Cancel
You may cancel your subscription at any time via:
- Your account settings page (Settings > Subscription > Cancel)
- Emailing support@signlab.app with your account details
Cancellation takes effect at the end of the current billing period. You will retain full access to your plan features until then.
5.2 Effect of Cancellation
Following cancellation:
- Your account will be downgraded to the Free plan (if available) at the end of the billing period
- Documents sent during your paid period remain accessible for 30 days post-cancellation
- After 30 days, documents may be permanently deleted (you will be notified in advance)
- Templates and account settings are retained if you remain on the Free plan
6. Failed Payments
If a payment fails:
- SignLab will attempt to notify you by email within 24 hours
- We will retry the payment after 3 days
- If payment remains outstanding after 7 days, access to paid features may be restricted
- If payment remains outstanding after 30 days, the account may be downgraded or terminated
You are responsible for ensuring your payment method remains valid and has sufficient funds. Update payment details at any time in account settings.
7. Enterprise Plans
Refund and payment terms for Enterprise plans are governed by the applicable Enterprise Agreement. In the absence of specific Enterprise Agreement terms, this policy applies.
8. Taxes and VAT
All prices displayed are exclusive of applicable taxes. UAE VAT at 5% will be applied to UAE-registered customers where required. EU VAT will be applied to EU consumers in accordance with applicable digital services tax regulations. A VAT invoice will be provided with each charge upon request.
9. Disputes
For billing disputes or payment queries, contact support@signlab.app within 60 days of the charge. If you believe you have been charged in error, we will investigate promptly. Initiating a chargeback with your bank without first contacting SignLab may result in account suspension pending resolution.
